PA/ Office Manager is required for my client who is an award winning multi disciplinary practice of Planning landscape and Environmental Consultants, who have been established since 2000. They believe in delivering first class projects of all scales through the planning and development process and onto the ground. Personal Assistant • Providing full PA support to partner: assisting with report writing, correspondence, invoicing, diary management, and travel arrangements etc Company Management • Assisting with highly confidential matters concerning the company’s finances, staffing and business growth; • Maintaining an annual billing figure and chargeable hours report for each fee earning member of staff; and a spreadsheet with every fee earner's charge out rate for each project; • Monthly invoicing and chasing up outstanding debts; • Overseeing any legal, insurance and health and safety matters; • Overseeing company’s website, including any necessary changes and updates • Dealing with all personnel matters: interviewing prospective members of staff, arranging annual reviews, arranging for restrictive covenants and confidentiality agreements to be drawn up by the solicitors; keeping sick and holiday records; organising staff entertainment; induction process for new staff Office Management • Facilities management for the building including cleaning, waste, kitchen, garden, maintenance and repairs, furniture; fire alarm, etc; • Liaising with the company’s IT support company; overseeing the computer network and all related hardware/software requirements; • Managing the company car fleet including lease agreements, maintenance, sourcing new cars; • Retrieval and collation of all chargeable office expenses; • Responsibility for petty cash, staff expenses, company credit card and all related spreadsheets; working on Excel and Sage You will have previous PA experience at partner or Director level. You will be highly organised with excellent attention for detail. Proficient in Microsft packages particularly Excel You will be a self starter, take the initiative and knows how to be diplomatic and discreet. You will have a high level of professionalism and be extremely well presented. Good basic salary. | |
